Human Resources Information System supports core HR processes such as employment and termination process of business relationships (employees, external workers) with people management and the company work structure (organization structure and job specification). It also provides documents, reports and statistics required by external institutions.
Setting up a system of competences begins by defining required and desired competences on jobs.
Companies have different organizational structures with different number of levels as well as various forms: business groups (holding companies) and their subsidiaries or other internal organizations. System supports maintenance of various information for organizational units (head of unit, contacts, costs and locations...) as well as information regarding competencies and company objectives. The evaluation of those can be found in the module Performance Management.
Typical company usually prepares a list of jobs, which are appropriate and necessary for its field of activity. Jobs are defined by tasks, description, responsibilities, competencies, goals, objectives and requirements for recruitment. The number of employees, assigned to jobs, can be planned.
Job specifications include requirements for certain competencies like skills, experiences, abilities, characteristics, behaviours and knowledge. These competencies are expected from employees assigned to a job.
Core HR covers processes like employment, termination of employment, reassignment to another job / other organization unit / another cost centre / another salary... These processes are accompanied by preparation of certain forms, documents (contracts, annexes, annual leave notifications...) as well as preparations of forms and documents for external institutions and general analysis reports according to various criteria.
System supports maintenance of employees for limited and unlimited time, full-time, part-time, people with disabilities and employees with individual or collective agreements, with non-competition clause, with special mandates and further for the maintenance of external workers (students, contractors, volunteers and rented workers).
People management includes data about employment, personal and professional data, family members, previous employments and work data - assignments for individuals concerning jobs, organization units, cost centres, salary data (points, quotients, amounts, percentage...), salary bonuses and benefits, weekly working hours... Some automations are supported, e.g. automatic calculations of annual leave with proportions, lengths of service, data from safety and health at work field, of medical exams and preparing referral forms, info about disabled people, other forms, documents, reports, analysis and statistics.
Information about an employee, external worker, applicant competencies and level of competence proficiency, can be registered and updated. Competence profiles and competence requirements from organization units and jobs are the basis for comparison and suitability matching whether a company has the right people for the right jobs.
